| Rose-Hill
Transport (RHT) is a 50 years old company
with a workforce of over 350 employees and
a fleet of 82 buses. It was the first bus
company in Mauritius and has always assumed
a leadership role in the industry. They have
the distinction of being the first bus company
in Africa to use GPS technology for fleet
monitoring purpose. |

| The success
of RHT entirely depends on efficient use of
vehicles for revenue generation. So knowing
the exact cost and revenue per vehicle is
very important. The company also needed an
enterprise solution integrated with a Traffic
Management and Workshop Management system.
Besides, there was also a need to develop
a complex payroll module as per Mauritian
law. |

| Rose-Hill
Transport was the first bus company in Mauritius
and has always assumed a leadership role in the
industry. To maintain this position they needed
a system which could help them monitor and analyze
their cost elements. These included costs of human
resources, spare parts, fuel and oil. To take correct
decisions at the right time, the top management,
needed to have details of cost and revenue per mile
per route per customer group. They needed a system
which could track the repairs and breakdown history,
assist in traffic management & streamline the
complex payroll. RHT was looking for a simple
solution that could integrate their complex business
processes and assist in making critical business
decisions. |

| RHT
requirements of a scalable and upgradeable enterprise
solution to address their current business needs
were met by Microsoft business Solution-Navision.
Initially Rose Hill Transport was apprehensive of
their decision to entrust the crucial ERP implementation
activity to an entity not based in Mauritius. They
came to India to assess the capability of All e
Technologies to provide remote support and effectiveness
of a reporting system through e-mail and telephone
calls. Robust processes were however created to
manage both the initial customization and post implementation
support offshore, which worked extremely well. The
entire project lifecycle from Gap/ Requirements
Analysis to Implementation took 4 months. An offshore
- onsite model for optimizing the implementation
cost and time was followed. The requirements
analysis & implementation were done in Mauritius
and most of the customization/ development took
place in India. This approach was highly effective
as the requirements of a tight implementation schedule
laid down by Rose Hill Transport were met impeccably.

| As
a part of the implementation process Workshop
management, Traffic Management and Payroll
were developed specifically for RHT within the Navision
environment. These modules are integrated with the
rest of Navision application. |
|
| Traffic
management is an area where the routes, time of
departure, drivers, conductors and vehicles are
mapped in such a manner so that the given combination
is optimized for Revenue, Cost, Resources and Practical
usability.
This module was developed
from scratch as per the guidelines and set procedures.
The objective was to replace the traffic department's
daily paper work and judgmental approach in planning
by an automated and more intelligent system. This
system eases management reporting and analysis
and at the same time the possibility of human
errors can also be eliminated. Dependence on specific
resources is also minimized. There also exists
an interface between the workshop and traffic
department so that both the departments are
in sync while planning. The daily schedules
for the vehicles can be printed in advance reducing
the daily manual paper work. The system has
considerably reduced the efforts put by the Traffic
planners. The time saved is now gainfully
employed for more customer facing roles.

| There
are always some unanswered questions like the amount
being spent on repairs and upkeep of the vehicles.
What vehicles are serviced and when? What is the
breakdown history? Which driver/conductor is reporting
maximum breakdown? There are hosts of other questions,
which can now be answered using the Navision implementation.
The Navision application
is also integrated with the exiting GPS system
and the mileages of vehicles is updated automatically
continuously. The Duty Card for the mechanic now
is a formal printed document as against the former
hand scribbled paper. There is also a provision
in the system to voice enable details of the duty
card to the mechanic, if the need be. The resource
usage can now be optimized. The system now maintains
history of activities of a mechanic. The requisition
of spares from the stores is now done through
the system. The requester of spares can know about
the availability of spares before hand, and hence
a better planning is possible. The workflow between
the stores and the workshop is also aided by a
windows based messaging system to immediately
alert the users for any actions. The Stores on
the other hand always has a log of the issued
and requested spares. Stock levels are maintained
on line. Various analyses, which took
days to compile earlier, are now available
instantly. The Stores department can send
purchase orders by email to vendors and also do
a performance analysis on Vendors based on various
factors. All the paper work is now a thing
of the past.

This module was
developed from scratch in accordance with
the existing payroll procedures of the company.
Traffic industry has a complex payroll system
since various parameters come into play.
These include overtime calculations. The
new payroll system was required to be flexible
to accommodate any new changes brought in
rules by either the government or the company.
The swipe card attendance system, has an
interface with the new payroll system.
Overtime calculation and computation
of the overtime rates is done automatically.
With the new system, payroll processing
is no more a painstaking exercise, it is
simple to use with minimum user intervention.
All the statutory and MIS reports are directly
printable from the system, which has eliminated
the need for manually collating data.
Financial System:
Changing from a manual system to a computer
based accounting system in itself was a
quantum jump for RHT. The need for big and
bulky ledgers is now out. Trial balance,
which normally took 1 month to prepare,
is now available online. The daily
operations are also eased out. The accounts
department has all information available
for statutory as well as management reporting
purposes.
Financial system
is the heart of the Navision. All operational
data from other functions flows automatically
to the financial system. This eliminates
duplicity of work. Certain new areas were
also developed in the financial system.
These include Shares management, Investment
management and Loans management.
